ABOUT YOUTHCARE: YouthCare works to end youth homelessness and to ensure that young people are valued for who they are and empowered to achieve their potential. Founded in 1974, YouthCare was one of the first programs to serve runaway and homeless youth on the West Coast. The goal was to help young people find safety today and build a future for tomorrow. Over four decades, we’ve defined best practices and developed programs that are a national standard for excellence. Using a youth-centered approach, we ensure that young people experiencing homelessness ages 12-24 have the hope, skills, and confidence to gain long-term stability.

ABOUT THE DEVELOPMENT TEAM: YouthCare’s Development Team provides young people and staff at YouthCare with the support and items young people need to get off the streets and prepare for life. The Development Team is responsible for fundraising, community engagement, external communications, public policy work, volunteer and in-kind donation management, and much more!

POSITION SUMMARY: Under the supervision of the Director of Community Engagement, the Volunteer & In-Kind Giving Coordinator will engage and steward volunteers and drive hosts, manage and sustain in-kind items, and serve as a consistent, mission-focused and professional ambassador for YouthCare.

ESSENTIAL RESPONSIBILITIES:

  • Volunteer Coordination:
    • Serve as primary point person to recruit, coordinate and steward individual volunteers at YouthCare.
    • Build and maintain relationships across the agency, and work directly with staff to determine most needed volunteers.
    • Field and respond volunteer inquiries in a timely manner. Directly communicate via email and phone and manage expectations of volunteers in the queue. Document communication.
    • Process and document all paperwork for volunteers. Ensure each volunteer’s data is entered and files are saved appropriately. Track relationships and volunteer engagement in Raiser’s Edge.
    • Build annual volunteer recruitment strategy and plan that reflects needs of young people and program teams and reflects YouthCare’s commitment to equity and diversity.
    • Efficiently, thoughtfully, and appropriately, train, onboard, and place volunteers. Support and coach individual volunteers to succeed.
    • Communicate closely and clearly with relevant staff before, during, and after volunteer placement in each program. Coach and train staff to work with volunteers; ensure the dynamic is successful between all entities.\
    • Co-build and execute an annual volunteer stewardship budget and plan.
    • Build a sustainable volunteer engagement plan to keep current volunteers informed and appreciated. Implement volunteer e-newsletter and/or other strategic communication tools in partnership with Communications Specialist
    • Complete all reporting regarding individual volunteers.
    • Process background checks in accordance to YouthCare’s volunteer background check policy.
    • Maintain, regularly assess, and refine volunteer policies and protocols.
    • Address any challenges or concerns that come up with individual volunteers, provide supportive solutions.
    • Expeditiously, maintain volunteer data in to Raiser’s Edge database around contact information, interest points and participation.
  • In-Kind Resource Coordination:
    • Serve as primary point person to coordinate in-kind and product donations and drives hosted in the community to collected needed items for youth. Directly solicit for essential donations as is necessary. Field and respond to all inquiries regarding donations and drives in a timely manner.
    • Build relationships across the agency, and work directly with program staff to determine, solicit and stock the most needed items.
    • Provide management of physical locations where in-kind items are displayed for youth including Basement Boutique. This includes lifting and moving of 100s of items monthly, sorting to shelves, hanging clothing, and moving items to essential locations.
    • Carefully document drive information and ensure data is uploaded quickly. Track relationships and donations in Raiser’s Edge and look for means to improve systems of documentation.
    • Provide leadership of seasonal supply drives, includes building annual drive calendar in partnership with Communications team and Development Manager.
    • Collaborate with Communications Specialist to establish seasonal drive collateral, communication, and maintain Amazon Wish Lists.
    • Provide drive hosts with all needed information, support, and educational materials for their drive.
    • Greet community members and receive in-kind donations; on occasion, pick up donations in the community.
    • Strategically identify, recruit, and solicit new drive locations.
    • Design and implement annual drive host cultivation and appreciation plan.
    • Serve as lead for holiday season wishes and distributing gifts for young people.
    • Ensure in-kind donations are sorted, neatly organized, inventoried, and disseminated. Focus on inventory management and internal communication systems for in-kind items.
    • Support colleagues to ensure compliance with in-kind donation tracking procedures across the agency.
    • Completes all reporting regrading drives and in-kind donations.
    • Address any issues or challenges that come up with in-kind donors or drive hosts with a solutions-oriented approach.
  • Other Community Engagement:
    • Professionally represent YouthCare at community engagement events. Lead tours, table, and speak on behalf of YouthCare as needed.
    • Build and sustain lasting relationships with key drive hosts and prospective volunteers. Cultivate drive to expand their involvement at YouthCare. Support Board Member recruitment.
    • Assist with fundraising events, including YouthCare’s annual luncheon event.
    • Support success of YouthCare’s social media strategies by helping provide content.
    • Ensure volunteer group and drive information is entered Raiser’s Edge in a timely manner.

QUALIFICATIONS –

MINIMUM REQUIREMENTS:      

  • 2 or more years of development, volunteer management, event planning, or public relations experience.
  • Strong organizational and prioritizing skills and the ability to meet deadlines; impeccable follow-through and multi-task management.
  • Ability to manage multiple projects and deadlines while remaining focused on the experiences of our volunteers and the needs of the young people we serve.
  • Outstanding verbal and written communication skills.
  • Computer software skills including data entry, Windows, Microsoft Outlook, Microsoft Word.
  • Strength in logistical planning, information management, data entry, and systems efficiency.
  • Ability to work independently as well as within a strong and experienced team.
  • Ability to ask questions and clarify tasks and goals of projects.
  • Ability to work effectively and maintain positive relationships with internal staff members and external constituents.
  • Ability to effectively represent YouthCare in the community with a professional appearance and manner.
  • Ability to remain flexible and problem solve independently.
  • Ability to set appropriate boundaries and navigate changes.
  • Truly enjoys working with teams and people.
  • High School Diploma or GED.
  • Experience and credentials must comply with program contract requirements.

PREFERRED REQUIREMENTS:

  • Bachelor’s degree in a related field, and 2 or more years' development, special events, and/or public relations experience. Volunteerism will count as experience in the field.

CONDITIONS OF EMPLOYMENT:

  • Valid state identification or passport.
  • Current TB Test.
  • Food Handler’s Card.
  • Successful completion of pre-service training as required by contracting agency. Training will include: New Employee Training, Cultural Proficiency training, CPR/First Aid and HIV/AIDS training, CSEC and Right Response training, Defensive Driving and 15-Passenger Van training.
  • Must possess a valid WA State Driver’s License and be able to drive. When driving YouthCare vehicles, you must possess a valid WA State Driver’s License; meet minimum safe driver criteria established by the agency and our insurance company.
  • Computer software skills including data entry, Windows, Microsoft Outlook, Microsoft Word.
  • Initiative, creativity, reliability, flexibility, thoroughness.
  • Strong verbal and written communication skills with good quality spelling, grammar and punctuation.
  • High integrity when dealing with a broad array of cultures and restricted and/or confidential information.
  • Ability to coordinate overall program functioning.
  • Ability to create efficient systems and accurately maintain and produce files, records, logs and reports.
  • May be required to assume responsibilities or duties within the agency not specifically delineated in this job description for short periods of time or on an infrequent basis.

PHYSICAL REQUIREMENTS:

  • Ability to perform range of physical motions, exerting up to 50 pounds. Lifting and carrying up to 50 pounds consistently through out a single work day while inventorying/moving donated items to various locations.
  • Ability to stand, walk, sit for long periods of time, kneel, squat, stoop, run for brief periods of time, and go up and down stairs.
  • Ability to greet and directly work in partnership with volunteers through physical tasks (painting, cleaning, gardening) for more than 4 hours while hosting volunteers.
  • Ability to drive.
